Booking a London hotel through a concierge: what to send and what can be confirmed

A concierge hotel request is not a confirmed reservation until the hotel (or its booking channel) has accepted the dates, room type, and rate. This note explains what to send, what SM Concierge can ask for, and what remains with the property.

What to send

Share as much of the following as you already know. Missing items slow the first reply; they do not stop us opening the request.

  • City and neighbourhood preference (Mayfair, Knightsbridge, a named hotel, or a comparable list)
  • Arrival and departure dates, plus flexible nights if the first choice is full
  • Number of rooms, occupancy, and any connecting or adjoining need
  • Arrival time, early check-in, late checkout, and whether a day-room is acceptable
  • Guest names as they should appear on the reservation
  • Smoking, accessibility, crib, extra bed, or quiet-room constraints
  • Who approves the rate (principal, assistant, or family office)

What we can request

We contact the hotel or a trusted booking channel and ask for the stay you named. Typical extras — a higher floor, a specific view, breakfast, or an upgrade — are requests. The hotel confirms them against inventory and the rate you accept.

We do not hold exclusive VIP contracts with named chains, and we do not promise a complimentary upgrade.

When it is confirmed

You have a booking when you have a confirmation number (or written hotel confirmation) for the dates and room type. Until then the request is in progress. If the first hotel cannot take the dates, we come back with alternatives rather than inventing availability.

Send a hotel request with the dates and the property or neighbourhood. We aim to reply within a few hours between 9am and 9pm.
