A London airport-transfer checklist: flight details, luggage, waiting and changes
A London airport transfer is a named car, a named flight, and a waiting rule — not a promise that traffic will vanish. This checklist is what SM Concierge needs to book a chauffeur through a ground partner.
What to send
- Airport, terminal if you know it, and flight number
- Date, scheduled landing or take-off, and whether the trip is arrival, departure, or both
- Passenger names and a working mobile for the lead traveller
- Luggage count, oversize items, child seats
- Destination address (hotel, residence, or office) and any extra stops
- Meet-and-greet versus kerbside, and how long the car should wait after landing
- Who approves the quote
What we arrange
We book a professional chauffeur and pass the flight to the operator so they can track it. Meet-and-greet inside the terminal depends on the airport and the operator’s landside access. We are not the driver; the partner confirms the vehicle type they will send.
Waiting and changes
If the flight is late, the waiting time in the quote still applies unless you ask us to extend it. If the flight is retimed or cancelled, tell us as soon as you know — the operator can often retask the car; they cannot recover a no-show that was never updated.
A booking is confirmed when the operator has accepted the job and you have the pickup time in writing. Until then it is a request.
