The order that usually works
1. Hotel — dates and area first, because a car and a table without a bed is a worse evening. 2. Transfer — flight number and terminal once the stay is the working assumption. 3. Restaurant — sitting after you know the landing window, with a later sitting as backup.
If the hotel cannot take the first dates, stop and choose the alternative before you lock the car. If the flight moves, the transfer operator needs the new time; the restaurant may need a new sitting.
What to put in one message
- Names as they should appear on the hotel and the table.
- Flight number, date, and the hotel or neighbourhood.
- Party size for dinner and any dietary constraint that changes the booking.
- Who approves rates and changes — often an executive assistant.
